Every project we undertake begins with a detailed written estimate that outlines the scope, costs, and timeline. We firmly commit to not starting any work until that estimate has been thoroughly reviewed and officially approved by the client. For more complex and intricate projects that require in-depth research, technical planning, or specialized analysis, we may approach the estimating process as a dedicated paid consulting phase. This allows us to provide a more accurate and comprehensive plan before moving forward with the full project execution.

Transparency with Numbers

Most of our work is quoted as a project or phased rate. Clients care about getting the right result, on time, and within budget — not about buying hours. We price based on the deliverables and the outcome, then structure the work so we can stay flexible as the project evolves while still protecting the agreed budget and timeline.

Collaboration

We collaborate closely with our clients throughout the entire production process, valuing their input at every stage. We understand that time and budget are precious, and we are just as committed to avoiding any waste as our clients are. By maintaining open communication and actively involving clients, we ensure that the project stays on track and aligns with their vision, making the process efficient and effective for everyone involved.

Scope & Changes

The approved estimate defines what we’re making. If the direction shifts or new deliverables are added, we pause, put the change in writing, and get approval before continuing. A reasonable number of revisions are included; bigger changes are handled separately.

Rush Work

Tight timelines are definitely possible to accommodate, but they typically come with an additional premium cost. We make it a point to clearly communicate any potential impact on both the project schedule and overall expenses right from the very beginning. This way, there are no surprises and you can plan accordingly with full transparency.

Payments

We utilize clear and straightforward deposit and milestone payment structures that are carefully tailored according to the overall size and expected duration of each individual project. Every detail regarding these payment terms is thoroughly explained and clearly outlined in the estimate provided to our clients, ensuring full transparency and eliminating any possibility of unexpected charges or surprises throughout the process.

Files & Archives

We keep secure archives of every project – forever. Final deliverables are the property of the client upon full payment. Working files and source projects are not included unless they’re included in the estimate or requested as an add-on. We use 24/7 secure on-site and cloud backup for all projects, including source assets, footage, project files, and masters.

Cancellation

If a project is halted or cancelled after work has already commenced, a kill fee will apply to cover the time, effort, and resources that have already been dedicated to the project and are therefore not available to other clients. This fee ensures that the costs incurred up to that point are compensated, with the precise terms and conditions clearly outlined in the original estimate provided.

Working Together

We consistently deliver our best work when there is clear, open communication and timely, constructive feedback throughout the entire process. While we remain flexible and adaptable regarding the methods and approaches used, we strongly prefer to document the important details in writing. This practice helps ensure that everyone involved stays fully aligned and on the same page, minimizing misunderstandings and promoting a smooth workflow.
